The details change from one business to the next. The gaps do not.
Important information lives in a group chat, a notebook and one person's
head. That works until it does not:
Something important happens, and the next person to need it never hears about it
Work gets tracked on paper, or not tracked at all
Hours go on typing up, copying out and sorting things a computer could handle
Your best customers get treated the same as someone walking in for the first time
Nobody can say who did what, or when, without digging through messages
The owner is the only person who knows how anything actually works
What a partnership can fill
Below are the building blocks I have already made and proven. Think of
them as starting points, not packages. Each one can be reshaped, combined
with others, or replaced by something built just for you.
Staff and owner portals
Everyone sees what they need, and nothing more.
Separate views for owners, managers, staff and anyone else you work
with, wherever they are. You decide who sees what, and you can
remove someone's access in seconds.

Customer loyalty and rewards
Make your regulars feel known.
Recognize the people who come back, and give them a reason to keep
coming. Every customer's visits, rewards and notes live in one
simple CRM. No app to download and no card to lose. See whose
birthday is coming up, and which regulars have quietly drifted away.

Win-back lists
Daily summaries
Nothing lost between people.
Staff send photos and quick notes as the day goes. AI reads them
together and writes a running summary of the day's operations:
what happened and what needs doing, ready for whoever picks up next.

Photo-to-list capture
Snap a photo, get a list.
Your team photographs what they see. AI identifies each item and
reads any visible text, then adds it to a running list with the
photo kept on every line as proof. Export it as a PDF whenever you
need it.
Reordering

Custom automations
Repetitive work, handled.
If a task follows the same steps every time, it can usually run on
its own, with AI doing the reading, sorting and writing. Your team
steps in only where judgment matters.

Where AI fits in
Several of these tools use AI to do the reading and writing. It works
quietly inside the tools your team already uses, on the parts of the job
that are repetitive, slow or easy to forget.
It sees
AI vision looks at a photo the way a person would. It recognizes products, reads labels and picks out the text that matters.
It writes
It turns scattered photos and notes into a clear, readable summary, ready for whoever needs it next.
It keeps track
Everything it reads builds into a running record you can search, check and export.
You stay in charge
Every result links back to the photo or note it came from, so a person can always check the work.
Shaped to your business
Start from what exists
Pick the one piece that solves today's problem
Change how it works to suit you
Add more later without redoing anything
Build something new
Bring a problem nothing on this page covers
Automations for the work you repeat
Built from scratch around how you work
Joined up with everything else you use
What stays the same
Keep the tools that work. Your point of sale, booking system or
accounts stay where they are. This fills the gaps around them.
Nothing to install. It opens in a browser on the phones,
tablets and computers you already own, wherever your team works.
A person has the final say. Where AI does the reading
or writing, your team can always check the result.
Your data stays yours. Your customer list and your
records belong to you. Export everything at any time.
Common questions
My business is not a shop. Is this still for me?
Yes. The first version was built for a shop, but the problems it solves show up everywhere: information lost between people, customers nobody recognizes, work tracked on paper. Your version would be shaped around your business, whether you have a storefront, work at customers' sites or run fully remote.
Does this replace the software I already use?
Usually not. Keep the tools that work, like your point of sale, booking system or accounts. This fills the gaps around them, and can connect to them where that helps.
What hardware do we need?
Normally just the phones, tablets or computers you already own. It opens in a web browser, so there is no app to install.
Will my team actually use it?
That is the main risk with any system like this. So it is built for the way your people really work, whether that is standing at a counter, out on a job, moving between rooms or working from home. I also train your team directly rather than handing you a manual.
Do my staff need to understand AI to use it?
No. They take a photo or type a quick note, the same as sending a message. The AI does its work in the background.
What if the AI gets something wrong?
It is built so a person can always check. Every line it adds keeps the photo it came from, and every summary links back to the notes behind it. AI does the first pass. Your team has the final say.
What if we have several locations, or none at all?
Either works. Everything can run across several locations from one place, and because it all opens in a web browser, a fully remote team can use it from anywhere.
Who owns the data?
You do. You can export your customer list and all your records at any time.
What happens if you are unavailable?
Everything is documented, and your data is exportable at any time. Nothing about the setup requires me specifically in order to keep running.
Can you build something that is not on this page?
Yes. This page shows the kinds of problems I have already solved, not a list to pick from. If your business needs something different, it gets built around the way you work. Tell me what is getting in the way and I will tell you what it would take.
Where it started
Every piece on this page began as a real problem at Gator Tobacco &
Cigars, and staff use them there every day. That is one version, built
for one business. Yours would look different, because your business is.
